How early should you apply for daycare?

If you're reading this with a tiny one on the way (or in your lap), here's the most reassuring sentence we can offer:

You probably haven't waited too long. You just need a plan, a shortlist, and one calm afternoon.

This guide walks you through realistic timing for daycare applications across Canada, what to expect, and the small things that make the biggest difference. We'll keep it short.

The honest numbers

For licensed infant rooms in mid-to-large Canadian cities (Calgary, Edmonton, Toronto, Vancouver, Halifax), the typical wait is 6 to 14 months. Toddler rooms are slightly faster (3–9 months). Preschool spots can sometimes be found within a month or two — but only if you're flexible on location.

That sounds heavy. Here's why it isn't:

  • Waitlists move. Families relocate. Schedules change. Spots open all year.
  • Being on the list is what matters. Most providers won't even call you if you aren't already a name in their system.
  • Getting on 6+ lists at once costs you a Saturday morning — and dramatically increases your odds.

The simple timeline

  • Pregnancy month 5–6: research and shortlist 8–12 providers
  • Month 6–7: apply to all of them. Pay deposits where required.
  • Month 8: tour 3–5 of your top picks (virtual is fine)
  • Newborn weeks: keep your tracker updated. Most providers will pause your spot if you ask.
  • 3–4 months before desired start: confirm 2 backups
  • 1 month before start: re-confirm, send paperwork early

Already past the "ideal" window?

You're still in good shape. Three things to do this week:

  1. Cast wide. Apply to 8–10 providers instead of agonizing over the perfect one. You can refine later.
  2. Consider dayhomes. Approved family dayhomes (up to 5 children, often part of an agency) have faster turnover and many are genuinely wonderful.
  3. Use a tracker. Spreadsheets break under pressure. (We obviously think you should use Waitlist Buddy — but anything works as long as it's one place.)

What providers actually look at

We've heard from a lot of centre directors. Here's what tends to move the needle when there's a tie:

  • A polite, specific email after applying ("We'd love to be considered for the September toddler intake — happy to tour any time")
  • Flexible start date (even by a week)
  • Open to part-time as a way in
  • Willing to accept an off-cycle offer if one comes up
  • Promptness — slow replies often slide down the list

A note on guilt

If you're reading this at 11pm with a baby asleep on your chest, and you feel a little behind: you're not. You're a step ahead just by reading. Save this page, get on a few lists tomorrow, and put it down for tonight.

You're doing great. We've got this organized for you.

FAQ

Is six months pregnant too early to apply for daycare?+

No — in most Canadian cities, six months pregnant is the sweet spot. Many licensed infant rooms have 6–14 month waits.

What if I'm already four months from my desired start date?+

Still apply broadly — to 6 to 10 places. Spots open unexpectedly, and being on the list is what gets the call.

Do dayhomes have shorter waits than daycares?+

Often, yes. Approved dayhomes (typically up to five kids) turn over a little more frequently and can be a great bridge.
