How to get on Calgary daycare waitlists

Three things to know before you start:

  1. Most Calgary daycares accept waitlist applications online, often through a Google Form or a centre-specific portal.
  2. Some require a small deposit (refundable). That's fine — it's actually a signal of seriousness on both sides.
  3. Apply broadly. We mean it. Eight to twelve providers across two or three nearby neighbourhoods is the sweet spot.

The 60-minute application sprint

Block one Saturday morning. With coffee. Here's the plan:

  • List 8–12 providers in 2–3 neighbourhoods you'd commute to
  • Open Waitlist Buddy. Save them all to your shortlist.
  • Open each provider's application form one at a time
  • Let the extension autofill what it can; review and submit
  • Forward any auto-replies to your inbox alias
  • Mark each as 'submitted' in your tracker

What to write in the "tell us about your family" box

Keep it short. One paragraph max. Include:

  • Child's first name + DOB
  • Hoped-for start month (flexibility is a plus)
  • Schedule (full time, part time, days)
  • One sentence about your child's personality or any preferences
  • Whether you're open to alternate sites under the same operator

Following up

A gentle follow-up every 8–10 weeks is normal and welcomed. Try:

"Hi [Centre]! Following up gently on our application for [Child Name] — still very interested in your [age room] for [target month]. Happy to provide any additional info. Thank you for everything you do."

That's it. No begging, no apologies. Waitlist Buddy auto-suggests follow-up timing so you won't forget.

When you get a yes

Reply within 24 hours, even if it's just "Thank you — can I have until Friday to decide?". Spots are competitive. Centres will hold for a day or two if asked nicely.

When you get a no

It's not personal. Calgary daycares often shuffle waitlists based on age cutoffs and sibling priority. A "no" today can become a "yes" in three months when the room rebalances. Stay on the list.

FAQ

Do Calgary daycares charge a waitlist fee?+

Some do — typically $25–100, often refundable when you accept or decline a spot. It's reasonable. We list known fees in your dashboard.

Can I be on multiple Calgary waitlists at once?+

Absolutely. Most parents are on 6–10 lists at the same time. Providers expect it.

How do I follow up without being annoying?+

Every 8–10 weeks, a short, specific email is appropriate. We'll auto-suggest follow-up timing.
